We are Funky Chalk Limited.
Specialists in cue sport equipment, designing and importing snooker, pool and American pool cues and sports equipment.
We supply to trade customers through our Funky Chalk website and direct to consumers through our Cue & Case website.
It is an exciting time to join us as we are growing and have ambitious plans for the future. Due to internal promotion, we are now looking for a Sales Administration Assistant to support the customer service team.

The Office Assistant / Sales Support role provides day-to-day support to customer service, sales, and eCommerce operations.
The role is primarily responsible for handling customer enquiries, supporting order-related queries, and ensuring a high standard of customer experience. The position also provides administrative and operational support across eCommerce and warehouse functions as required.
This is a developmental role, with an expectation to build product knowledge, systems understanding, and customer service skills over time.

Key Responsibilities
• Customer Service & Communication
• Answer incoming calls from retail customers in a professional and helpful manner
• Respond to customer emails and messages across platforms
• Handle customer queries relating to orders, products, and delivery
• Manage customer complaints, escalating where necessary
• Follow up with customers to ensure issues are resolved satisfactorily
• Portray the company in the best light to customers at all times
• Order & Aftercare Support
• Assist customers with order queries, including tracking and delivery issues
• Handle missing parcel enquiries and liaise with couriers where required
• Process refunds and returns in line with company procedures
• Support resolution of customer issues in a timely and professional manner
• Trade & Sales Support
• Assist with incoming trade calls where required eg. Trade team break times, holiday cover.
• Take accurate messages and pass information to relevant team members
• Provide basic support to the sales function as needed
• Customer Experience & Reviews
• Send review requests (e.g. Trustpilot) following customer purchases
• Support initiatives to improve customer satisfaction and feedback
• Maintain a professional and positive brand image in all communications
• E-Commerce Support (Development Area)
• Support the Ecommerce & Marketplace Executive with listing administration tasks
• Assist with basic product uploads and data entry
• Contribute to content creation (e.g. blog writing) as skills develop
• Learn and apply eCommerce systems and processes over time
• General Administration
• Support general office administration tasks as required
• Maintain accurate records and customer information
• Assist other departments with administrative tasks when needed
• Warehouse & Operational Support
• Assist with warehouse operations during busy periods (e.g. picking, packing, returns processing)
• Support general business needs where required
Learning & Development:
• Develop strong product knowledge across the product range
• Build understanding of internal systems and processes
• Participate in training and development opportunities
• Actively seek to improve customer service and communication skills

Person Specification:
Essential Experience & Skills:
• Strong communication skills (written and verbal)
• Good organisational skills and attention to detail
• Basic IT skills and willingness to learn new systems
• Positive and professional attitude
• Ability to work as part of a team
Desirable Experience:
• Previous customer service experience
• Interest in cue sports
• Basic understanding of eCommerce platforms, excel and email.

Please note: This role is base full time, 8:30am – 4:30pm in our LS28 location. From August 2026, this role will be based at our LS12 location.
