Purpose of the Role
The Treatment Plan Coordinator plays a critical role in converting patient interest into informed treatment decisions by combining consultative sales, empathy, and care coordination. This position ensures patients feel supported, confident, and guided from first consultation through treatment commitment.
Key Responsibilities
- Conduct pre-assessment consultations to understand patient goals, concerns, and treatment motivations.
- Present treatment options, pricing, financing alternatives, and expected outcomes clearly and empathetically.
- Support patients in decision-making and drive treatment plan conversion.
- Serve as liaison between patients and clinicians to ensure continuity of care.
- Maintain accurate patient records, handover notes, and CRM documentation.
- Follow up proactively with patients to provide reassurance and progress updates.
- Track KPIs, sales performance, and conversion metrics, providing regular reporting and action plans.
- Maintain exceptional patient experience standards aligned with Truly Dental's care philosophy.
- Coordinate across clinics where required and support operational continuity.
Requirements: Competencies and Skills
Education
- Background in Sales, Healthcare, Dentistry, Aesthetic Services, or related field preferred.
- Training in customer experience, consultative sales, or treatment coordination is an advantage.
Experience
- Minimum 2 years of experience in consultative sales or patient-facing roles within dental, medical, aesthetics, beauty, wellness, or similar sectors.
- Proven track record achieving or exceeding sales or conversion targets.
- Experience managing KPIs, reporting, and follow-up plans.
- Experience in customer relationship management systems.
Knowledge and Skills
- Strong consultative communication and active listening.
- Ability to discuss pricing and financing confidently and professionally.
- Knowledge of dental treatment pathways preferred.
- CRM and reporting systems proficiency.
- Familiarity with Dentally software desirable (training available).
- Fluent spoken and written English.
- Valid driver's license and flexibility to travel across locations when needed.
